How to Compress a PDF: What Browser Compression Can Do

A PDF can be large because of high-resolution images, embedded fonts, or repeated resources. NexaToolPro’s browser-only Optimize PDF function rewrites the document structure; it does not downsample images.

How to use this tool

  1. Select the PDF you want to optimize.
  2. Choose Optimize and download.
  3. Compare the original and output sizes shown when the operation finishes.
  4. If the file is larger or not small enough, keep the original and use a trusted PDF editor that can reduce image resolution.
  5. Open the output to check fonts, forms, bookmarks, and page appearance.

Options explained

The tool uses PDF object streams during save. This may reduce some documents, but there is no guaranteed compression ratio and the result can be larger.

Privacy and file limits

This is a best-effort rewrite, not a lossless image optimizer or guaranteed file-size reducer. Keep a copy of the original.

Why PDF files get large

A PDF is large mostly because of what is inside it, not because of the number of pages. Scanned pages and photos are stored as images, and one full-page scan can be several megabytes. Embedded fonts, repeated graphics and many small objects add more. A ten page typed report may be a few hundred kilobytes, while ten scanned pages can be larger than twenty megabytes, so the first thing to find out is whether your file is mostly text or mostly pictures.

What this tool does and does not do

This tool re-saves your PDF with object streams, which packs its internal structure more tightly. That can help with documents made of text and many small objects. It does not lower the resolution of images and it does not remove content, so a scanned PDF usually stays about the same size and a file that was already optimised can even grow a little. The output page shows the original and the new size so you can decide which file to keep.

If the file is still too large

Make the images smaller before they go into the PDF. Resize or compress the photos with Image Resizer or Image Compressor and then combine them with JPG to PDF. Split a long file into parts with Split PDF, or remove pages you do not need with Delete PDF Pages. When you export from Word or another program, choose the smallest size option for sharing online. When you scan, a resolution around 150 to 200 dpi is often enough for readable text.

Before you send the file

Many email services accept attachments of only about 20 to 25 megabytes, and some forms or government portals set a smaller limit, so check the limit first. Open the final file and look at a few pages to make sure text and signatures are still clear. Keep the original, because a smaller copy is for sending, not for archiving, and give the new file a name that says which version it is.

Frequently asked questions

How small should a PDF be to send by email?

There is no single rule. Many services allow about 20 to 25 megabytes in total, but the person receiving it may have a lower limit. For forms and portals read the stated limit.

Will the pages look different after compressing?

This tool does not change image resolution or remove content, so the pages should look the same. Open the result and check a few pages, fonts and forms before you use it.

Can this tool make a scanned PDF searchable?

No. It does not read the text in images. A scanned page stays an image, so the text cannot be selected or searched.

Which tool should I use if the size does not change?

Reduce the size of the source images with Image Resizer or Image Compressor, or split the file with Split PDF so each part is small enough to send.
